This privacy notice informs you what to expect when HanzOn gathers personal information about you when you sign up to use the HanzOn Logbook, visit our website www.ito.hanzon.co.nz, contact us through third-party channels (such as referrals), or contact us directly.
Whenever you provide information, we will only use your information in line with all applicable New Zealand data protection laws, including the Privacy Act 2020, as well as the General Data Protection Regulation (GDPR) where applicable.
Your information will be kept in a secure environment, and access to it will be restricted according to the 'need to know' principle.

When you sign up for the HanzOn Logbook or use our website www.hanzon.co.nz, we may gather the following information about you:

Employment details
Related documents such as, but not limited to, references and your driver’s license
HanzOn also collects information about how you use our website and the device(s) that you use to access the HanzOn Logbook. This includes collecting unique online identifiers such as IP addresses, which uniquely identify a specific computer or other network device on the internet. How will HanzOn use the information it collects about you?
HanzOn will use your personal data for a number of purposes:
To manage your participation in the HanzOn Logbook
To share your information with government agencies funding your participation, such as Primary ITO and the Food and Fibre COVE. No personal data will be released only logbook entries.
To respond to feedback, queries, and complaints that you submit
To send you marketing communications about the HanzOn Logbook
The lawful justification for collecting and using your personal data for the HanzOn Logbook is that it is necessary to manage your participation in the logbook system.
The lawful justification for sending marketing communications about HanzOn products and services to you is that you have given clear consent for your personal data to be used for this specific purpose. You are always in control of your data. You can unsubscribe from HanzOn marketing communications by clicking ‘Unsubscribe’ in the footer of HanzOn marketing emails.
The lawful justification for matching the data we collect with other data that we hold about you if you have used HanzOn products and services before is that we have a legitimate business interest to provide you with relevant and personalised content related to the HanzOn Logbook.
If you report an issue, HanzOn will use your personal data for purposes including:
Feedback on the status of the issue you reported
Resolution of the matter raised
Your information will be handled and used by the following trusted third-party recipients in order to deliver the HanzOn Logbook and services provided on our platform:
HanzOn staff managing the HanzOn Logbook and marketing communications
Government agencies funding your participation in the HanzOn Logbook
We will keep your information within HanzOn and our trusted third-party recipients, except where disclosure is required by law, such as to government bodies and law enforcement agencies.
Where is your data stored?
HanzOn stores your data on secure cloud-based servers. Our website and services are hosted on servers located in the United States. If data is stored outside New Zealand, we will ensure adequate safeguards are in place to protect your personal information in compliance with applicable privacy laws.
How long will HanzOn keep your information?
Participation Data: Your personal details for participation in the HanzOn Logbook will be retained for a period of five years from the date of your last interaction with HanzOn (e.g., opening an email or clicking a link within an email). After this period, all personal details will be removed from our systems.
Marketing Data: Your personal details for marketing communications will be retained for a period of three years from the date of your last interaction with a marketing communication. After this period, all personal details will be removed from our systems.
Right to be Forgotten: If you request account deletion, HanzOn will remove all your data within 30 days, except where legal obligations require us to retain certain records.
What rights do you have over your personal data?
Under New Zealand’s Privacy Act 2020 and GDPR, you have the right to:
Access your personal data by making a subject access request
Rectification, erasure, or restriction of your information where justified
Object to the processing of your information where justified
Data portability – request a copy of your data in a commonly used format
Request deletion (Right to be Forgotten) of your personal data

How does HanzOn handle data breaches?
HanzOn follows strict security protocols to protect your personal data. In the event of a data breach that poses a risk to your rights and freedoms, we will:

Notify the New Zealand Privacy Commissioner and other relevant authorities if required
Inform affected individuals without undue delay, if the breach could result in harm
